5 Ways to Keep Guests Cool, Calm and Collected at Your Event!

Depending upon where you are, the heat can either be a blessing or torture.  In the NY metro area, the summertime weather can be hot or hot and humid (a very ugly combination)!

Brides/Grooms and general party hosts/hostesses are becoming more savvy in finding clever ways to keep their guests cool during summer parties.  Here are some fun solutions we've come across aside from your typical hand fan or custom water bottle label:


1.  Consider renting an ice-cream truck or snow-cone truck! This is fun and very different from the current norm. You could have them operate nearby (depending upon your location) and offer water bottles and snow-cones during your ceremony or for the duration of your outdoor special event.  Just make sure the music from the ice cream truck is NOT playing!

2.  Use as much reflective materials as possible if your event is outdoors. White is a natural reflector and try to avoid metal framed chairs as they absorb the heat very fast.  Consider fabric that is breathable when needed and utilize naturally shaded areas as much as possible for those that may overheat easily.

3.  If you can't use an ice-cream truck rental for your special event, consider a DIY snow-cone or ice cream bar!  Set this up in or near the shade as much as possible. Rent or borrow an 8' rectangular table, dress it with a color-matching linen if need be and fill boxes or large open vessels with crushed ice.  Decorate the table with all the necessary fixin's: cups, spoons, sprinkles, chocolate kisses, etc.  Ask the catering company to be on stand by and re-fill any vessels that have ice that melted away.

4.  Consider a late-afternoon function instead of a right-smack-in-the-middle-of-the-heat event.  Guests would be extremely appreciative of even a 5 degree difference when outside.  

5.  Set up cooling stations!  You can get creative with these. One could be chilled water bottles, another could be wash-cloths absorbed with chilled water that guests could take to cool their heads, wrists, etc.

Recap: Saudhy & Bab's Cultural Fusion Wedding!

When Saudhy first called about our services for her wedding, I knew it was going to be one unforgettable journey from the start. They both shared amazing and balanced personalities as well as tastes that complimented one another so perfectly!

Throughout the months leading up to her wedding, we worked together to build upon a design board we created to really showcase who they were as a couple in celebrating a momentous occasion. At times it was difficult, especially with them in Georgia and Mississippi while us and their wedding celebration were in New Jersey, but we made it happen and worked out the logistics beautifully.

Bab, with a colorful Nigerian background, and Saudhy, with a vibrant Colombian background, wanted to incorporate their style and cultures into a unique wedding that really represented who they were as individuals and as a couple...and that's just what happened. 

On March 17, 2012 they set the tone just right by using a Maybach as their special ride for their day. Saudhy and Bab used our iPad to read their vows (a first for this Church!) to one another, had a traditional African broom, and even celebrated the anniversary of the Groom's fraternity with a surprise cake!  The personalizations were many and so were equally the smiles.

With appropriate and selective attire (a total of 3 outfit changes!), they were even able to showcase and engage their guests with a Nigerian Money Dance followed by a Colombian Hora Loca (translation: Colombian Crazy Hour... think Sombreros, fast music, sunglasses and glow in the dark accessories)! Talk about an entrance ... times 3!

Needless to say, all the vendor professionals involved did a fantastic job for Saudhy and Bab and we all couldn't have been happier with the outcome. Congratulations again guys! xo
